Position Overview: We are seeking a highly organized and motivated Assistant Project Manager to support our Project Managers in the day-to-day administration and coordination of various construction projects. The ideal candidate will have a strong background in project coordination, excellent communication skills, and the ability to manage multiple tasks efficiently. This role offers a unique opportunity to contribute to high-profile projects and grow within a thriving company.

Key Responsibilities:

  • Project Documentation: Assist in the preparation, review, and distribution of project-related documents, including proposals, contracts, and change orders. Ensure all documents are up-to-date and accessible to relevant stakeholders.
  • Budget Tracking: Monitor project budgets and expenditures and assist in preparing financial reports. Help track costs and ensure projects stay within budget.
  • Risk Management: Identify potential project risks and issues and assist in developing mitigation strategies. Work with Project Managers to monitor and address risks throughout the project lifecycle.
  • Vendor Coordination: Communicate with vendors and subcontractors to ensure timely delivery of materials and services. Assist in resolving any issues related to vendor performance or deliveries.
  • Meeting Support: Prepare agendas, take minutes, and follow up on action items from project meetings. Ensure meetings are well-organized and productive.
  • Permitting and Compliance: Assist in obtaining necessary permits and ensuring compliance with local regulations and codes. Keep track of permit statuses and deadlines.
  • Client Interaction: Support Project Managers in client interactions, including preparing presentations and reports for client meetings. Help maintain positive client relationships through effective communication and timely responses.
  • Site Coordination: Coordinate logistics for site visits, including arranging transportation and accommodation if needed. Assist in preparing site visit reports and documentation.
  • Support Continuous Improvement: Provide feedback on project processes and contribute ideas for continuous improvement. Assist in implementing new processes and technologies to enhance project efficiency.

Qualifications:

  • Education: Bachelor’s degree in construction management, Business Administration, or a related field is preferred.
  • Experience : Minimum of 5 years of experience in project coordination in the construction industry.

Skills:

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Familiarity with project management software (e.g., MS Project, Dropbox, Procore) is a must.
  • Ability to work independently and as part of a team.
