Job Description POSITION PURPOSE: The Part-time Bulldog Life Administrative Assistant performs a variety of office and budget management duties with a high level of responsibility and confidentiality in the Bulldog Life Department. This will involve contact with students, other Navarro College Departments, and the general public while frequently exercising independent judgment. In addition, the Part-time Bulldog Life Administrative Assistant will collaborate with other Bulldog Life staff for office operations, budget operations, and disability services documentation collection.
GENERAL DUTIES AND RESPONSIBILITIES: - Maintain the records for the Bulldog Life Department, which includes information pertaining to budget, personnel, students, and department activities.
- Complete and submit travel requests and reimbursement forms for Bulldog Life staff.
- Collect documents to assist with credit card reconciliation.
- Coordinate calendars and schedules for all Bulldog Life Staff and department activities.
- Prepare and distribute routine correspondence, flyers, brochures, bulletins, and other publications.
- Prepare purchase requisitions for Bulldog Life Department.
- Communicate with staff, students and public, both in person and on the phone, in a professional, courteous, and helpful manner.
- Perform clerical and administrative tasks for the Executive Director and Bulldog Life staff.
- Type forms for related functions within the unit, including budget implementation and control, and assurance that expenditures are in accordance with allocation of funds.
- Perform clerical tasks including reports, contracts, minutes, schedules, proposals, budgets, and statistical reports which may require complex tabulation and statistical tables.
- Convert, create, and send forms with Adobe Acrobat Pro and/or Dynamic Forms.
- Performs other office duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES: - Must have proficient computer literacy skills including Microsoft Word, Excel and Adobe Acrobat Pro.
- Good keyboarding skills required and ability to perform difficult data entry duties.
- Ability to speak and write effectively and analyze, edit, review, and interpret complex materials.
- Ability to maintain cooperative working relationships with other departments and organizations.
- Thorough knowledge of modern office management principles, procedures, techniques, and their adaptation.
- Ability to acquire wide knowledge of department, college organization, and programs.
- Ability to understand and utilize electronic, cloud, social media, and videoconferencing programs.
- Thorough knowledge of office technology, equipment, and procedures.
- Ability to plan and supervise the work of others.
POSITION QUALIFICATIONS: Required:
- High School Diploma or equivalent.
- One year of office or administrative experience.
- Basic knowledge of accounting and budgeting.
Preferred:
- Preference given to candidates who have a similar background to participants served by TRIO programs and/or previous experience working with TRIO programs.
- Bilingual.
- Experience with Colleague, Oracle, Canvas, Microsoft Teams, and Dynamic Forms.
WORKING CONDITIONS: - Variances from regular working hours may be necessary to fulfill the responsibilities of the position.
- Busy working environment with numerous interruptions.
- May need to work occasional weekends and evenings.
SALARY: $10. per hour / up to 19 hours per week. Navarro College
