The Institute on Violence, Abuse, and Trauma (IVAT) is seeking an organized, motivated individual to provide administrative and editorial support for three peer-reviewed scholarly journals ( Journal of Child Sexual Abuse; Journal of Aggression, Maltreatment & Trauma; Journal of Family Trauma, Child Custody, & Child Development). The ideal candidate will have excellent tracking and time management skills, follow and adhere to deadlines, and be committed to learning the process, including administrative checks, ethics review, production and other support. The successful candidate will be dedicated to providing high-quality service to all constituencies of the Institute on Violence, Abuse and Trauma. POSITION SUMMARY
Under the general supervision of the Research, Publications & Special Projects manager, the Editorial Assistant will perform editorial duties and provide administrative support for three internationally published peer-reviewed scholarly journals. The IVAT Editorial Assistant will serve as the primary contact between authors, reviewers, guest editors, and the Editorial Office to facilitate submissions moving efficiently and effectively through the peer review and publication processes. They will track workflow, provide support, and ensure manuscripts are moving forward within appropriate timelines. This is a part-time, non-exempt position that requires efficient and consistent communication, respectful and professional interpersonal relationship building, and strong organizational skills with attention to detail.
QUALIFICATIONS
Strong candidates will show evidence of excellence in logic, communication, reasoning, problem-solving, team building, and writing/proof-reading skills. Successful candidates will be highly motivated, adaptable, and demonstrate the ability to organize time and priorities to meet multiple concurrent deadlines. They will work well independently and as a member of a team. Research and prior experience in violence, abuse, and trauma fields are helpful. Related nonprofit or administrative experience a plus.
ROLES AND RESPONSIBILITIES
· Assist with execution of administrative tasks, including tracking submissions, handling correspondence, and peer review monitoring
· Receive detailed instructions as to methods, procedures, and desired end results
· Provide administrative support on manuscript submissions, ensuring they are correctly formatted and suitable for a double-anonymous peer review, tracking for manuscripts throughout the process, and regularly communicating with supervisor and editors to determine next steps
· Support reviewer related administrative tasks, including updating contacting information, sending reviewer invitations/applications and adding new reviewers to the ScholarOne platform, running and analyzing reviewer performance reports and indicators, and other tasks as directed
· Facilitate the peer-review process, including selecting and assigning peer reviewers for approval, reviewer recruitment, and other reviewer follow-up
· Assist with production tasks throughout the year, including support for end-of-the year acknowledgments and Editorial Board review
· Sort, filter, and respond to journals emails; assisting authors and reviewers with extensions, monitoring timelines, and timely communication with the editorial team
· Provide support for book reviews and special issues
· Set meetings and take meeting minutes, update training manual materials, maintain spreadsheets, accurate records and ensure timely completion of tasks through regular communication with supervisor
· Provide summary or progress reports for weekly check-ins and monthly meetings
· Contribute to department and organizational goals by accomplishing related tasks as assigned
Additional opportunities and potential to be involved or participate in other work based on expertise, experience, performance, and skill include:
· Involvement with recruitment, training, and mentoring of graduate student workers
· Opportunity to provide support for and attend IVAT Summits, trainings, and other projects, as well as engage in opportunities to work with local and national agencies and programs
· Opportunity to occasionally perform editing duties
POSITION REQUIREMENTS
EDUCATION
Bachelor’s degree or higher in social or behavioral sciences; or equivalent combination of education and experience preferred
EXPERIENCE
Administrative duties in a professional office environment preferred
Familiarity with academic style writing is required
Experience in research, writing, or scholarly publishing is preferred
KNOWLEDGE
Basic knowledge of computer programs such as Microsoft Word, Excel, and Outlook
Familiarity with Cloud-Based Shared Files, such as Google Drive
Knowledge necessary to learn publication-specific software with training

Valid California driver license at time of hire
